Workflow & Automation Questions
What should I automate first in a small business?
Start with the work that touches money first. For most small businesses that means lead response, missed call recovery, and appointment confirmations. If a lead waits an hour, you usually lose it. If a missed call goes unanswered, the homeowner calls the next roofer, plumber, or HVAC company on the list. Fix those leaks before adding anything fancy. A short workflow audit shows where your real bottleneck is so you do not waste money automating tasks that do not move revenue. Read why a workflow audit comes before automation or start with our business process automation guide.
What is missed call text back and how does it work?
Missed call text back is a simple piece of small business automation that sends an instant text message to anyone who calls your business and does not get through. The text usually says, sorry we missed you, can we help by message. It works because most callers will respond to a text within minutes, even if they have already moved on to a competitor. For roofing, HVAC, plumbing, dental, and med spa shops, this single workflow often recovers jobs that used to disappear. It is one of the first things we set up after a workflow audit. See more on the services page.
How do I stop losing leads from missed calls?
Three things stop the bleed. One, turn on missed call text back so every missed call gets an instant reply. Two, route after-hours calls to an AI voice agent that can answer questions, qualify the caller, and book appointments. Three, make sure those new leads land in one place your team actually checks, not three different inboxes. Most small businesses are losing real revenue every week to missed calls and never see it on a report. Read AI voice agents for small businesses.
How do I automate lead follow-up for my business?
Good lead follow-up automation is a sequence, not a single message. A new lead should get an instant text or call attempt within minutes, a follow-up the same day, and steady touches over the next week or two across text, email, and phone. The goal is to reach the lead while they are still shopping. The trick is matching the sequence to how your team actually sells. See our follow-up automation setup or read building follow-up sequences that convert and speed to lead and why response time wins jobs.
How do I automate review requests after a job is complete?
Review request automation works best when it fires the moment a job is marked complete in your system. Every completed customer gets the same short text or email with a direct link to your Google profile, we do not gate or filter which customers are asked, because that violates Google's review policy. Alongside the request, your team gets an internal alert to follow up on any service issue in parallel, so problems get fixed fast whether or not the customer chooses to leave a review. Automated review requests are one of the highest ROI workflows for roofing, HVAC, plumbing, dental, med spa, and chiropractic shops. See more on the services page.
Can AI answer my business phone after hours?
Yes. An AI voice agent can answer your phone after hours, on weekends, and during busy daytime overflow. It greets the caller in your business name, answers common questions, qualifies the lead, books appointments on your calendar, and texts a summary to your team. For small businesses where the first responder usually wins the job, an AI receptionist is one of the highest leverage tools available. The catch is setup. Read AI voice agents for small businesses.
What is a workflow audit for a small business?
A workflow audit is a structured review of how your small business actually runs day to day. It maps how leads come in, how your team responds, how jobs get scheduled, how follow-ups happen, and where time, money, and leads are leaking. For roofing, HVAC, plumbing, chiropractic, med spa, dental, and law firms, this is the step most owners skip before buying software. PointWake calls this a Growth Plan. You get a written report with prioritized fixes you can act on, with or without us. Learn more on our services page or read why a workflow audit comes before automation.
Should I fix my workflow before adding AI?
Yes. Adding AI or automation on top of a broken workflow usually creates more confusion, weaker team adoption, and more wasted spend. Most small businesses we review already pay for three to eight tools they barely use. Business process automation only works when the underlying steps are clear, owned, and repeatable. Fix the workflow first, then layer in CRM optimization, lead follow-up automation, and AI automation where they actually move the needle. Read more in workflow audit before automation.
How do I know if my business is ready for automation?
You are usually ready when three things are true. One, your service delivery process is consistent enough that someone could write it down. Two, you know roughly where leads come from and how your team responds to them. Three, you have at least one repetitive task that eats real hours every week. If any of those are missing, automation will amplify the chaos instead of fixing it. Run through our automation readiness checklist or get a free AI readiness consult.
Why do CRM implementations fail?
Most CRM implementations fail for the same reasons. The CRM is configured around the vendor's defaults instead of how your business actually sells and delivers. Nobody owns data entry. The team is never trained past the first week. Reports are built but never reviewed. And the workflow it was supposed to support was never mapped in the first place. CRM optimization is not a software problem, it is a process problem. Read the full breakdown in why your CRM implementation failed.
How fast should I follow up with a new lead?
For small businesses, the practical target is under five minutes. Lead response time, sometimes called speed to lead, is one of the largest predictors of whether a lead turns into a booked job. Once a lead waits more than an hour, contact and conversion rates drop sharply. For roofing, HVAC, plumbing, and home services, the first company to actually reach the homeowner usually wins the job. More on this in speed to lead and why response time wins jobs.
Can AI answer calls, texts, and chats for my business?
Yes, and for most small businesses this is now the highest-leverage place to start. An AI voice agent can answer the phone twenty-four seven, qualify the caller, book appointments on your calendar, and hand off real opportunities to a human. The same logic applies to texts, web chats, and missed-call follow-ups. An AI answering setup only works well when it is built around your actual offers, service area, hours, and intake questions. Learn more in AI voice agents for small businesses.
How do you measure automation ROI?
Automation ROI for a small business comes down to four numbers. Hours saved per week across the team. Lead response time before and after. Booked jobs per one hundred leads. And recovered revenue from missed calls, no-shows, or stalled follow-ups. We set those baselines during the workflow audit, then track them after each system goes live. We do not promise a specific revenue lift. We commit to making the numbers visible. Read how to measure automation ROI for the full framework.
Working With PointWake
How much does workflow automation cost for a small business?
Automation pricing for a small business depends on the size of the team, the number of tools in use, and how much custom work is needed. PointWake starts with a Growth Plan so you have a clear scope before any build work. The Entry Growth Plan starts at $497, the Advanced Growth Plan is $1,997, and On-Site Operational Growth Plans start at $4,997. Implementation is quoted from there with a flat number, not hourly surprises. Full details are on the pricing page.
What if I already have a CRM or automation tools?
Good. We do not rip out what is working. The Growth Plan evaluates what you already own, identifies what is being underused or misconfigured, and recommends whether to keep it, fix it, replace it, or add to it. Most businesses we audit are using twenty to thirty percent of what they already pay for. CRM optimization usually means getting full value out of your current stack before adding anything new. See how this fits into our services.
How long does the Growth Plan take?
Most Growth Plans wrap up in one to two weeks depending on complexity. The Entry Growth Plan typically completes in five business days. The Advanced Growth Plan spans four sessions over one to two weeks. The On-Site Operational Growth Plan includes time on the ground at your office or shop. In every case you finish with a written report, prioritized recommendations, and a clear next step. See current options and pricing on the pricing page.
Do I have to hire PointWake for implementation after the Growth Plan?
No. The Growth Plan stands on its own as a deliverable you can use however you want. You can take the findings to another provider, implement them yourself, or hand them to your in-house team. If you do choose PointWake for implementation, your Growth Plan fee is credited in full toward your next step. There is no pressure, no long contract, and no hidden upsell. See the full breakdown on the pricing page.
Do you work with businesses in San Antonio and Austin?
Yes. PointWake is headquartered in Canyon Lake, Texas, right between San Antonio and Austin. We work with small businesses across both metros remotely and on-site, and we also travel anywhere in the US for on-site engagements. Being in the corridor means faster response times, in-person Growth Plans when they help, and a working knowledge of how the local market actually books jobs. Roofing, HVAC, plumbing, med spa, dental, chiropractic, and other trades in both cities are our core work.
Do you offer SEO and marketing services too?
Yes. PointWake offers audit-first marketing alongside our workflow and automation work. That means we look at what is already driving calls and leads before recommending spend, then focus on the channels that map to your booked jobs. Local SEO, Google Business Profile, and paid ads are common starting points, and everything is built to feed the same lead follow-up automation we set up on the operations side. See our SEO services or the full marketing services page for details.
Do you offer training instead of done-for-you?
Yes. If you would rather learn to run the tools yourself, we offer live 1:1 training sessions in your own account. GoHighLevel training is the most common request, but we also run Codex and ChatGPT setup sessions and Claude Cowork classes for beginners. Sessions are $295 for 60 minutes and are booked one-on-one, not as a group course. See our live 1:1 training hub for the current lineup.
HIPAA & Healthcare Options
Does the HIPAA option make my entire practice compliant?
No. PointWake provides an eligible HIPAA-enabled technology environment and BAA support where applicable. Each organization remains responsible for its own HIPAA policies, risk analysis, workforce training, access controls and proper use of protected health information.
What do HIPAA plans cost and what do they cover?
HIPAA plans start at $297 a month. That covers the HIPAA-enabled PointWake CRM environment and applicable configuration for eligible services. Voice, messaging, AI and third-party integrations must be reviewed for eligibility before protected health information is used.
Is every PointWake service covered?
No. HIPAA availability applies only to specifically approved CRM, communication and automation configurations. Marketing services and unapproved third-party tools are not included.
